Contact Header (US Format)

Use the legal name that will appear on a background check; drop the middle initial if you never use it.

Name your discipline in the words the posting uses; only claim a license you currently hold.

City, two-letter state and ZIP is enough — never put your street address on a resume you email out.

Use a plain firstname.lastname email; a college address or a nickname address gets you screened out.

Only list a link that is public and current — a dead or empty profile is worse than no link.

Professional Summary and Core Competencies

Match the exact title on the posting; a title the ATS never searched for scores nothing.

Replace every number with your own and keep only numbers you can defend out loud in an interview.

Pull these phrases from the posting itself; do not list a competency you would not want to be quizzed on.

This line is what keyword matching reads — spell tools exactly as the posting spells them, and delete anything you last touched in school.

Professional Experience (Reverse-Chronological)

US convention is Month Year – Month Year with the newest role first; write Present for the job you hold now.

Open with what you are responsible for, sized in projects or dollars — not with the phrase Responsible for.

State the change you made, then the measured result; if you cannot source the number, describe the result without one.

Before-and-after numbers beat adjectives; never write significantly improved.

Keep the same format as the role above; unexplained gaps read worse than a short honest line about them.

Two bullets is plenty for an older role — give the space to the recent one.

Education, Licensure and Certifications

Degree, school, city and year; drop your GPA once you have roughly five years of work behind you.

Name the state that issued it and say active; if you are not licensed, delete this line rather than softening it.

List only current certifications; an expired credential presented as current is the one thing a reference check catches.

Keep the last three to five years only — older training makes the section look padded.

Before You Send — File, Format and Length Check

Rename the file to your own name before sending; resume_final_v3.docx is what recruiters actually receive and it reads as careless.

Type over the text and leave the paragraph styling alone; do not add text boxes, columns or tables, because parsers drop what is inside them.

Fonts and margins can shift slightly in Google Docs — compare against the included PDF sample before you send, and note that menu names differ by version and interface language.

Keep both versions in one folder — some application portals accept only .docx.

To cut length, delete your oldest role — never delete your numbers.

Write the summary last, after the experience section is full. It is a summary of what is below it, not an ambition statement.
