Bank Reconciliation Template for Mid-Month Statement Cycles (US)

Bank reconciliation template for US bookkeepers whose bank statement closes mid-month, e.g. on the 20th: roll the statement balance forward to the calendar month-end before you compare it to the general ledger. Report a forged or altered check within at most 30 days of the statement or lose the claim on later forgeries by the same person (UCC § 4-406(d)(2)); after one year every claim is barred (UCC § 4-406(f)).

Bank Reconciliation Template for Mid-Month Statement Cycles

A $3,163.58 phantom difference: that is what a US small-business bookkeeper chases when the bank statement closes on the 20th and the reconciliation compares that balance straight to the month-end ledger. Nothing is wrong with the books. The difference is the activity that cleared after the statement date.

Sample monthRolled forwardStatement as-is
Statement ending balance$48,215.37$48,215.37
Deposits cleared after statement date$12,480.00not counted
Withdrawals cleared after statement date$9,316.42not counted
Bank balance at month-end$51,378.95$48,215.37
Plus deposits in transit$3,250.00$3,250.00
Less outstanding checks$5,870.15$5,870.15
Adjusted bank balance$48,758.80$45,595.22
Adjusted book balance (GL $48,803.80 less $45.00 fees)$48,758.80$48,758.80
Difference$0.00$3,163.58

Why the statement balance is not your month-end balance

A reconciliation proves that ledger cash equals bank cash on the same date. When the cycle ends on the 20th, the statement stops early while your ledger runs to month-end. List deposits in transit and outstanding checks as of month-end but start from the balance of the 20th, and the two sides describe different days. The gap equals the net activity in between: $12,480.00 in less $9,316.42 out, or $3,163.58.

The fix is one step before the classic reconciliation. Start from the statement ending balance, add deposits that cleared after the statement date up to month-end, subtract withdrawals that cleared in the same days (read them from online banking or the next statement), and you have the bank balance at month-end: $51,378.95. Then add deposits in transit, subtract outstanding checks, and take unbooked bank fees off the book side. Both sides land on $48,758.80.

The clock that starts when the statement arrives

Reconciling is also where you find a check you did not write. Under UCC section 4-406(d)(2) you get a reasonable period, not exceeding 30 days after the statement is made available, to report an unauthorized signature or alteration; miss it and later forgeries by the same wrongdoer, paid in good faith before your notice, stay your loss. Under section 4-406(f), after one year you cannot assert it against the bank at all. Your deposit agreement may set a shorter period.

The calculator turns that into two counters from the days since the statement was made available. Sample: 11 days, so 19 days left of the 30-day maximum and 354 days to the one-year bar. Leave the $45.00 fee out and the difference reads -$45.00 with the reconciled flag at 0.

What is inside

The free calculator runs in your browser: 8 inputs, 9 live formulas, nothing uploaded. The .xlsx holds the same formulas for Excel or LibreOffice, with a README; keep one copy per month as the workpaper for the client file or the auditor. A bookkeeper earns a median $23.66 per hour (BLS, May 2024), and a phantom difference can eat an afternoon. Check your own month free first.

Questions people ask

What does this bank reconciliation template do?

It reconciles a bank statement that closes mid-month to a calendar month-end. It rolls the statement ending balance forward by the deposits and withdrawals that cleared after the statement date, adds deposits in transit, subtracts outstanding checks, adjusts your GL for unbooked bank fees, and shows the difference, which should be $0.00.

Who is this reconciliation template for?

US small-business bookkeepers and in-house accountants who close the books on calendar months while the bank statement cycle ends on another day, such as the 20th or 25th. It fits business checking accounts where you must reconcile monthly and still catch forged or altered checks within the UCC § 4-406 window.

Why not use a free bank reconciliation template?

Free templates start from the statement ending balance and assume it is the month-end balance. When the cycle closes on the 20th, the last ten days of cleared activity are missing, so the template shows a phantom difference; in the sample it is $3,163.58. This one adds the roll-forward step first.

What can I do for free?

The full month-end reconciliation runs free in your browser with your own numbers: roll-forward, adjusted bank and book balances, the unexplained difference, the phantom difference you would get without the roll-forward, and the days left in the UCC 30-day and one-year windows. Nothing is uploaded. The paid part is the .xlsx workbook.

What does this cost compared with doing it by hand?

The .xlsx is $21 once, not a subscription. A bookkeeper earns a median $23.66 per hour (BLS, May 2024), and an unexplained difference from a mid-month cycle can take hours of ticking items. You can check your own month in the free version before you pay.
